RE: MESSAGE 2: Policies and Procedures for Borrowing Library Materials
This is the second in a short series of email messages about the Library's new online system, which is tentatively scheduled to "go live" on August 4. In this message, we highlight some of the changes in the policies and procedures for borrowing library materials. The new system will provide better control for such basic operations as checking out books, returning them, and renewing them. In addition, it will permit the Library to streamline processes related to overdues and fines. To make the most of the system's capabilities, we've revised library policies to assure the greatest access to our materials by the people who need them. The Faculty Senate Library Committee was an important partner in this policy review.
We wish to remind you that, during this transition period, the current online catalog will remain available but will not be completely accurate. Please consult a librarian if you have questions about the library's holdings. On July 23, we will stop using our present system for checking out books. Although you will still be able check out books between July 23 and August 4, the information in the online catalog about what's checked out and what isn't may not be correct. To minimize the inconvenience, we encourage you to complete your summer research projects as early as possible.
CHANGES THAT AFFECT ALL FACULTY, STAFF, AND STUDENTS
- You will be able to return any UIUC or ILCSO library item to any library unit on campus, regardless of where you originally charged it out.
- You will be able to view online a list of all library materials charged out to you or for which you have active requests in the system.
- You will be able to easily renew charged items online, up to a limit of 10 renewals for most items. After 10 renewals, the item must be returned or renewed in person.
- You will be able to see online the amounts you owe for fines or for books "assumed or reported lost."
- The effectiveness of the recall process will be strengthened. If you need a book that another person has charged out, a library staff member will recall it for you. If the person does not return a recalled book by the date specified on the recall notice, his or her borrowing privileges will be blocked until the book is returned. All overdue recalls will be subject to fines of $1.00 per day.
- Borrowing privileges will be blocked if the amount owed for billed items or overdue fines exceeds $400, or if you have three or more "assumed lost" (i.e., long overdue) items on your account.
- In the current system, if you return a book to a different library than the one where you charged it out, it remains under your name until it reaches its home library. Delays or losses in transit can result in overdue notices or bills. In the new system, items will be immediately discharged from your account before they are routed back to their home library, so you will not be held accountable for items delayed or lost en route. Although the Library will continue to accept claims that overdue or lost items were in fact returned, more than 10 such claims will result in a block on your borrowing privileges.
- Consistent with the new campus-wide policy, we will no longer use your social security number as your primary borrower identification number. The 14-digit number immediately above the barcode on your university ID card (I-Card) will be used instead. You will also be given a PIN number to access your own borrower record.
CHANGES THAT AFFECT FACULTY
Faculty will be fined for overdue RECALLED items only. Otherwise, the present "no fines" policy for faculty will continue.
CHANGES THAT AFFECT GRADUATE STUDENTS
- Graduate students will be subject to overdue fines.
- The loan period for graduate students will be lengthened from 4 weeks to 16 weeks, to match the faculty loan period.
